Privacy Policy

This page brings together the organiser’s privacy information from the Terms of participation, section 6, and explains how the enquiry form on this website works.

Who is responsible for your data?

The organiser and data controller is Chórtownia Foundation, ul. Łużycka 6/8, 44-100 Gliwice, Poland. For questions about your personal data, write to chortownia@chortownia.org or the postal address above. The Terms of participation list the same email address for the appointed Data Protection Officer.

When you ask us about the journey

The enquiry form asks for your name, email address and message so the organisers can respond to your question. If you choose a phone call, it also asks for your phone number. Your enquiry is sent to zapisy@chortownia.org, with a copy to the journey organiser’s Gmail mailbox, so the organisers can handle your request.

Sending an enquiry does not register you for the journey, reserve a place or subscribe you to a newsletter. The form does not ask for payment details, dietary requirements or choral experience.

The website uses a session cookie to protect the form and prevent duplicate submissions. If sending fails, the details you entered are temporarily kept in the server session so you can correct them. The form does not put your message or contact details in the page address and does not add them to the webinar registration database.

Why we use enquiry data and how long we keep it

We process general enquiries under Article 6(1)(f) GDPR: our legitimate interest in answering questions about the journey and managing the related correspondence. Where you ask us to take steps towards a booking, Article 6(1)(b) GDPR applies to those steps at your request.

We keep enquiry correspondence for as long as needed to answer and follow up on your question, for no longer than 12 months after the last contact. If you register, information needed for your participation is handled under the participation terms. If specific correspondence is needed to comply with a legal obligation or establish, exercise or defend a legal claim, we retain only that information for the necessary period on the applicable legal basis.

Providing enquiry details is voluntary. We need your name, email and message to handle an enquiry through this form; a phone number is needed only if you request a call. We do not use enquiry data for automated decision-making or profiling.

Enquiries are available to the people handling the journey and to hosting, IT and email providers supporting that work. We do not send the contents of your enquiry to social networks for publication.

When you register for the journey

Registration uses a separate Google form. The Terms of participation describe the following purposes and retention periods:

The Terms also specify that participants’ first and last names are retained for five years after the project ends, and that providing personal data is necessary to participate.

Service providers and this website

The Terms describe sharing under applicable law and data-processing agreements, including with Google and IT service providers, and name Facebook, YouTube and Instagram as separate data controllers.

The journey’s main page includes Google Analytics, Meta Pixel and fonts loaded from Google. These services involve connections to their providers when the page loads. The enquiry form itself does not subscribe you to any of these services. This privacy page does not load those analytics, advertising scripts or external fonts.

Your rights and contact

You may request access to your data, correction, erasure or restriction of processing, subject to the conditions in the GDPR. You may object, on grounds relating to your particular situation, to processing based on our legitimate interests. Data portability applies where the GDPR conditions are met, including automated processing based on consent or a contract. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing. You can also lodge a complaint with the President of the Polish Personal Data Protection Office.

To ask about your data or exercise your rights, contact chortownia@chortownia.org.
